Community Arts School Policies
Community Arts School policies are designed to ensure each student has a positive learning experience when enrolling and participating in CAS classes, ensembles, and lessons. Your cooperation with these policies is appreciated.
Please note that additional policies for a particular class or ensemble may apply. In this case, students will be notified by the instructor or program coordinator of these policies at the beginning of the semester.
CAS General Policies
A registration fee of $25 per student may be charged at the beginning of each academic year (in the fall) or when the student enters the program. Students enrolled in multiple classes or programs in the same academic year will only be charged one registration fee per year.
Cash, check, or credit card (Visa, MasterCard, Discover) payments are accepted. Checks returned due to insufficient funds will be charged a $30 insufficient funds recovery fee.
Payment plans are available for classes and ensembles when a credit card (MasterCard or Visa) is placed on file at ACTIVE.com. Participants may select a monthly and bi-monthly payment option.
An additional payment plan may be available for a full-year registration, please contact the Community Arts School office for details. Payment plans are not available on check or cash payments.
Payment plans for private lessons are subject to a $10 service fee.
A late fee of $10 will be added to any account with an unpaid balance 45 days after the first billing date. Future enrollment will not be permitted if prior semester fees are not paid. Additionally, an ensemble participant with an unpaid balance will not be permitted to perform in the final semester concert if fees are unpaid. No credits will be given for missed classes while under suspension, nor for lesson times scheduled during this period.
The Community Arts School reserves the right to process a Baldwin Wallace University student’s total charges owed, including a late fee, on the student’s University tuition account if a bill is unpaid at the end of the semester. Any unpaid bill more than 150 days past due will be turned over to University collections.
In the event of a failed payment on ACTIVE.com, students are still responsible for payment. Full payment of balance must be made by December 1 (fall semester), May 1 (spring semester), July 15 (summer semester) or the student will be suspended from participation and the invoice will be turned over to University collections.
Each student registered for an Ensemble or Class at the Community Arts School must upload a current photo to Active.com each year. If a student does not have a photo on file, we will take one at the first rehearsal or class.
Students, parents and/or guardians may be photographed or videotaped during classes, ensemble rehearsals, private lessons or concerts and are the property of Baldwin Wallace University. These photos/videos may be used for publications, on the BW web site, the CAS Facebook page or for other educational or publicity purposes. In such cases, there will be no compensation, recognition, or acknowledgement to the student, parent or guardian. Photos will not be shared individually with CAS participants, but can be shared from BW social media platforms on personal social media platforms. Photos or videos may not be used to promote programming of agencies or organizations that are not affiliated with Baldwin Wallace University.
If Baldwin Wallace University closes or cancels in-person classes due to inclement weather, ALL Community Arts School in-person activities are automatically canceled.
In the event of inclement weather, but the University has not officially closed or canceled in-person classes, notifications regarding Community Arts School programs can be found:
Cancelation of afternoon and evening programs will be announced by 2 p.m. Cancelation of Saturday morning programs will be announced by 8 a.m.
Private lessons are canceled by the teacher. The Community Arts School will leave this decision up to the private lesson teacher and students/parents to determine whether to cancel lessons. Contact your teacher directly for cancelation information.
In the unlikely event of an emergency closing, lessons and classes will not be rescheduled and tuition will not be reimbursed. Lessons and classes canceled a second time within the same semester will be rescheduled.
All students enrolled in a Community Arts School class or ensemble will be automatically entered into the electronic (text or email) notification system, remind.com. It will be used to make students aware of weather related cancellations, and any other important program reminders. Follow these instructions to opt out of the system.
CAS Class Policies
All registrations for Community Arts School classes are processed through ACTIVE.com. In special circumstances, late registrations may be accepted at full cost.
Students who cancel their registration seven days or more prior to the first date of class may have the funds credited to their family balance on ACTIVE.com to be used within the CAS programs by the end of the fiscal year (June 30). After this time, students are not eligible for a refund and are responsible for the full cost of tuition.
Private Music Lesson Policies
A student may withdraw from their current private lessons at the end of a semester (fall, spring and summer). Students are billed for a full semester of lessons at a time and are expected to complete the session once they confirm their registration with their lesson instructor.
In rare cases, a semester refund (less the fees for lessons given) may be requested. Otherwise, cancelations/billing adjustments are made only under the most extraordinary circumstances. Petitions for withdrawal must be made in writing.
The Community Arts School does not accept responsibility for lost or undeliverable mail or email communication. If you have requested email delivery of your invoices, please add mkurtz@bw.edu to your email address book to ensure delivery.
Music Ensemble Policies
If a student withdrawals from an ensemble before the first rehearsal, a full refund will be given, less a 10% processing fee.
Students who withdrawal from an ensemble before September 30 (fall semester registrants) or February 10 (spring semester registrants) will be eligible for a refund of 75% of tuition paid.
A 10% processing fee will apply to the refund payment, unless the refund is applied to the family balance on ACTIVE.com which will not incur the fee.
No refunds will be offered after September 30 (fall semester) or February 10 (spring semester).
